Busy financial office in Peterborough is seeking an Administrative Assistant to join our team!
Provide efficient administrative support to multiple advisors by following proper policies and procedures.
Prepare, process and verify all buy/sell transactions and maintain accurate records.
Coordinate, plan and prepare for meetings with clients and follow-up of all transaction correspondence.
Maintain an organized workspace to ensure client confidentiality and efficient use of time.
Manage workload independently and have the flexibility to adjust focus and support colleagues as required.
Prepare and take bank deposits to bank.
Reception duties such as answering phones, directing calls, taking messages & maintain phone logs.
Able to manage multiple phone lines.
Scheduling appointments using Maximizer platform & manual scheduling.
Keeping filing up to date and organized.
Collect and distribute mail to advisors.
Other duties as required.
1 to 2 years of administrative experience (previous financial institution experience an asset)
Canadian Investment Funds Course an asset but not required.
Proficiency in MS Word, Office and Excel.
Knowledge of Univeris & Maximizer an asset but willing to train.
Prior experience in a fast-paced, high-volume office.
Strong organizational skills.
Strong attention to detail.
Must be friendly and dynamic.
Excellent communication skills, verbal and written.
Ability to work independently as well as part of a team.
This position is part-time time contract (16-18 hours weekly) with potential for full-time contract (hours to be discussed with candidate). Pay rate will be determined by experience.
Start date: as soon as possible
