Communications Assistant At Japanese American National Museum

Location: Los Angeles, California

Job Description

POSITION SUMMARY:

Provides support to the Director of Marketing and Communications and other Marketing Unit staff in the promotion of Japanese American National Museum’s exhibitions, public programs, major events, and other initiatives. General tasks include media research, writing press releases, responding to media inquiries, communication with other cultural institutions for cross-promotional opportunities, selecting and organizing photographs for a variety of uses, and assisting with social media and other digital platforms.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • 1. Maintain schedule of press releases, write press releases and pitch letters, and conduct follow up with media.
  • 2. Maintain and update general media list and create specialized media lists as needed for targeted announcements.
  • 3. Respond in a professional and timely manner to general media requests, offering assistance in whatever ways possible.
  • 4. Collect, distribute, and archive media coverage.
  • 5. Submit event information to numerous online calendars.
  • 6. Assist with coordination and management of media visits to the museum, confirming interview subjects, and supervising all participating parties while at the museum.
  • 7. Work with management, staff, and volunteers to ensure proper preparation for media interviews or other interactions with press representatives.
  • 8. Create and maintain a library of images for marketing and communications use, adding new images as events take place, manipulating images as needed to improve their visual impact, and organizing images for quick and easy review and retrieval.
  • 9. Seek out cross-promotion opportunities with other museums and cultural institutions, ensuring that such opportunities add value to our audiences and fit their interest areas.
  • 10. Assist with social media postings as needed, brainstorm ideas for posts, and help with boosted post targeting strategies.
  • 11. Conduct hotel outreach to encourage concierges to refer visitors to Japanese American National Museum, and leverage LATCB membership to increase awareness of Japanese American National Museum as a tourist destination.
  • 12. Other duties as assigned.
  • 13. Staff members must be able to work with visitors of all ages to support the various events presented by JANM. Each staff member is expected to work on three specific museum-wide events per year:
  • a) Gala Dinner and Silent Auction (off-site), typically held in Spring (April-May)
  • b) Oshogatsu Family Festival (January)
  • c) Natsumatsuri Family Festival (August)

This list is not exhaustive and may be supplemented as necessary. Incumbent will perform related duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES:

Qualification Requirements: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Education: Bachelor’s degree in Marketing or Communications preferred; or an equivalent combination of education and experience.

Experience/Knowledge: At least two years of public relations/communications work experience. Willingness to learn and apply new skills. Ability to multi-task and prioritize. Ability to work well under pressure to meet deadlines. Excellent organizational skills and detail oriented. Strong proofreading skills. Professional phone manner is essential. Ability to work in a fast paced team-environment and be a self-starter. Demonstrate commitment and flexibility at all times in order to ensure high quality service. Ability to adjust and provide appropriate action when unanticipated need arises. May be required to work some evenings and weekends. Knowledge of Japanese American history and culture a plus.

Communication: Excellent communication skills (oral and written). Must be able to provide courteous and effective service to co-workers, volunteers, media representatives, and the general public. Ability to read and comprehend documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to effectively present information in one-on-one and small group format.

Computer: Computer literate, Internet savvy, and experience with Word, Excel, PowerPoint, PhotoShop, Facebook/Twitter/Instagram and Gmail required. Speed and accuracy are essential.

Math: Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

Reasoning: Able to act on own initiative. Must be able to comply with institutional policies and procedures. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Perform successfully while juggling and re-prioritizing multiple assignments in a fast-paced, changing work environment. Reliable follow-through on assigned projects in a complete, well-conceived, and timely manner.
