Administrative Assistant At British Columbia Institute of Technology (BCIT)

Job Description

It's an exciting time to join our Advancement team at BCIT. Our Advancement Division is a strategic partner in this mission and we are seeking a skilled and thoughtful fundraising professional to join our growing team to support raising funds and increasing engagement in support of students.

BCIT Foundation is seeking a regular, full-time Assistant to support the Major Gifts team. The Assistant, Major Giving provides administrative support to the Major Gifts (MG) team to meet the Foundation's goals and objectives. Responsibilities include: donor service, maintaining accurate donor records, assisting with the development of a variety of communications including proposals, preparing donor agreements, reports and presentations; tracking priority projects and donor agreements; calendar support; and providing meeting and event support.

  • Provides support in the development and implementation of major giving campaigns and stewardship activities.
  • Provides administrative support to fundraising initiatives, such as the comprehensive campaign.
  • Develops, edits and finalizes a variety of communications including proposals, donor agreements, presentations, reports and other printed/digital materials.
  • Assists in providing high quality donor stewardship to all major gift donors through timely appreciation calls, cards, and follow-up to donor gifts and inquires.
  • Utilizes specialized fundraising software (Raiser's Edge) to track major gift donors, prospects and contacts; pulls queries and reports as required; records donor activity; updates donor information; and compiles donor briefs.
  • Provides event and meeting support as required, including coordinating calendars, room bookings, catering, parking, and preparing materials.
  • Liaises with the Executive offices, boards, donors and prospects, alumni, industry partners, and internal stakeholders on behalf of the Executive Director and takes action as required.
  • Provides assistance and backup support to other administrative staff during absences or peak periods as required.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
  • Undertakes related duties as assigned consistent with the job grade for this position.

Preferred Qualifications:
  • Completion of Grade 12, plus additional 2-year specialized training in a full-time program from a post-secondary institution in business, communications, fundraising or related discipline.
  • Two years' general experience plus two years' recent experience in related role in a fundraising environment, preferably in a post-secondary setting.
  • An equivalent combination of education and experience may be considered.
  • Experience working with a wide variety of stakeholders including volunteers, board members and donors.
  • Formal training or proven experience using Microsoft Office Suite applications including: Outlook, Word, Excel, PowerPoint and Publisher.
  • Proven experience using Raiser's Edge relationship management software.
  • Exemplary organizational, communication (both verbal and written) and interpersonal skills.
  • Proven ability to establish and maintain effective working relationships, contribute effectively to the team, and to work independently with minimal supervision.
  • Ability to maintain confidentiality and exercise considerable judgment, tact, and discretion with all sensitive and confidential information.
  • Ability to exercise independent judgment and exemplary discretion in making sensitive decisions and recommendations on operational and external stakeholder matters.
  • Demonstrated ability to identify problems, evaluate alternatives and make logical, reasoned decisions.
  • Delivers exceptional customer service, displaying exceptional judgment in determining the nature and importance of inquiries and following up with appropriate action, resolving problems and answering questions as appropriate.
  • Knowledge of Revenue Canada Guidelines, FOIPOP (Freedom of Information and Protection of Privacy), and Records Management.
  • Proven competency in word processing and ability to produce documentation and meeting minutes for internal and external clients with accurate keyboard skills of 50 WPM.
  • Ability to organize and prioritize workloads to meet established deadlines and keep several projects progressing to completion simultaneously with minimal or no direction.
  • Experience and skill in formatting documents, proofreading, wordsmithing and generating polished, professional documents and presentations.
  • Acts as an ambassador for the Institute and represents the BCIT Foundation in a professional manner.
  • Demonstrated ability to deal effectively with pressure, set priorities, demonstrate initiative and handle multiple projects.
  • Must have the ability to work a flexible schedule including evenings and weekends.

  • Please note: These are the minimum required qualifications. This position is a dayshift position as defined in Article 14.1 of the Collective Agreement.
