Wealth HQ PMO Support & Admin At BMO Financial Group

Location: Toronto, Ontario

Job Description

IAAP Support
  • Support practitioners throughout the IAAP process as required.
  • Has a thorough understanding of the COIAA and IAAP Reference Guide.
  • Engages IAAP support desk for any technical issues with the IAAP Tool and Workflow. Engages Finance and Risk Champions as required.
  • Maintain/monitor IAAP tracker for Wealth HQ projects to ensure IAAPs and any exception requests for seed funding or IAAP overages extensions are completed in a timely manner.
  • Ensures appropriate management socialization prior to Executive Approvals.
  • Participation at IAAP improvement forums.
  • Manage change communication to the practitioners of new or updated information relating to the IAAP process.

Contractor/FTE Financial Management/Reporting
  • Manage and report monthly Allegis/SOW contractor cost & FTE allocations.
  • Code/process Teksys invoices
  • Enter SOW contracts in myHR and close when contract is complete.
  • Monthly Invoice approval/processing (TEKSystems SOWs).
  • Receive monthly Allegis & TekSys report and prepare monthly financials.
    • Request monthly project allocations from contractors (those working on multiple projects).
    • Update the Financial spreadsheet with monthly actuals & adjust forecast.
    • Inform PMs of PM NIX actuals for project tracking.
    • Prepare journal entries (to xcharge the LOBs) and submit to Finance.
  • Review/adjust the FTE PM allocations on the Financial spreadsheet.
  • Provide Finance with quarterly updates to the FTE allocations..

PMO Support
  • Provide support on all PMO audits (EPMO, CAD, GITRM Info Sec)
  • Provide support to the PMs to prepare for Project Audits (CAD, EPMO, PPQA) as required
  • Quarterly Attestation: run report, follow-up on data gaps, prepare response for any KRI breaches, send to Sarah/Maureen for review
  • Send to Rebecca/Joan for approval & then submit to EPMO

Clarity support
  • Setup Project hierarchy structure (FI and PR(s))
  • General support for Clarity functionality
  • Attends the Clarity Change Agent Forum to stay informed of all changes and any project WC’s that are established throughout the year for application enhancements
  • Assist PMs with setting up Budgets, getting IAAP info in Clarity
  • Investigates Clarity data issues and addresses gaps
  • Provides ad-hoc training to team members
  • Addresses quarterly CSA breaches – responds with action plans
  • Spot check reviews of Clarity data
  • Spotfire reports for Wealth Portfolio
    • Data Quality exception reports to correct any data gaps
    • Attestation Report - Wealth & GAM
    • Dashboard reports
    • Gating tracker
    • IAAP tracker

PMO Admin Support
  • Monthly Team Meeting: logistics, agenda, minutes
  • Maintains org charts, inform Rosella of adds/deletes on distribution list
  • Monitors mobile usage report
  • Maintains PMO SharePoint Site
  • Creates SP repositories with folder structure for all Projects
  • Archives projects sites
  • Maintains log of when project sites are to be destroyed (Records Retention Policy)
  • Assist with PM artefact spotcheck – document classification (records retention).
  • Assist with preparation/response to audit reviews (EPMO, CAD)
  • Onboarding/offboarding: ids/devices/soft phone/personal draw/conf line/day one activities
  • Follow-ups with IT support on delays or issues with the devices
  • Troubleshoots day one issues for new hires – helps them get setup
  • Validation of IT assets
  • Validation of floor access e.g. 250 Yonge access
  • Validation of Staff application & systems access

Qualifications

a) Knowledge
  • 2+ years’ experience in an administrative/ professional support function in a fast paced environment, dealing with moderately complex issues and managing conflicting priorities
  • Post-Secondary education in a related field and/or other professional related training and development to keep skills current, including office productivity software.
  • Solid knowledge of bank financial processing standards, human resources policies, and key business processes, and good working knowledge of basic financial analysis methodologies. Some understanding of project management methodologies.
  • Very good business knowledge and deep understanding of the organizational unit, its functions and products, and customer groups.
b) Skills
  • Ability to organize and understand a significant volume of varied business information and
  • develop it into cohesive, professional reports and presentations, with little guidance and ability to recognize and respond to business related issues within the scope of the material.
  • Ability to analyze relevant alternatives and create a rational recommendation to support business decision-making. Ability to plan and coordinate implementation of the selected option.
  • Detail oriented, extremely well organized, and able to manage initiatives, timelines and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines.
  • Demonstrated ability to perform moderate to complex administrative activities and to assign work, coach and mentor more junior staff.
  • Advanced level PC skills (Word Processing, Spreadsheet, Presentation Software, E-mail applications and web browsers)
  • Advanced communication skills, both written and verbal, with ability to maintain confidentiality and integrity to develop and leverage trusting professional working relationships.
