Safety & Emergency Management Assistant At BC Transit

Job Description

Job Description:
Designs, maintains and manipulates a large database of
information for statistical reporting purposes related
to accidents, injuries, WorkSafe BC claims, training,
litigation and safety recognition programs. Monitors
records related to employee First Aid qualifications,
driver s abstracts, and training; recommends and
prioritizes interventions by the Safety and Environment
Director and Officers or others as necessary. Performs a
variety of administrative responsibilities to ensure the
effective daily operation of the Safety and Training
office. Creates and maintains safety records in support
of the safety awards program for all employees, and
coordinates departmental recognition presentations.
Processes Red Light Camera Violation Notices. Works on
special projects as assigned.
1. Works closely with the Safety and Training Officers
to review incident reports and support the investigation
of preventable accidents. Updates Perspective database
to reflect findings and investigation information.
2. Designs, maintains and manipulates a large database
of information for statistical reporting purposes
related to accidents, injuries, WorkSafe BC claims,
training, litigation and safety recognition programs,
developing specialized databases and adding or changing
fields as required. Calculates and prepares statistical
reports relating to accident trends such as lost time
injuries, accident frequency and severity rates, monthly
and year-to-date figures and other related statistics.
Prepares statistics for inclusion in reports sent to
Canadian Urban Transit Association, American Public
Transit Association, etc.
3. Performs a variety of administrative responsibilities
to ensure the effective daily operation of the Safety

and Emergency Management office, including:
a) composing, keying, and distributing a variety of
correspondence from verbal instructions or rough drafts,
including memos, letters, notices, and reports for the
Director and departmental staff.
b) coordinating agendas, venues, and required book-offs
relating to standing and ad hoc committees, such as
Joint Health & Safety Committee, Violence in the
Workplace Committee; and Accident Adjudication Panel, in
accordance with WorkSafe BC regulations as required.
Prepares case files and statistical reports, records and
distributes minutes and related correspondence.
c) coordinating correspondence, book-offs, venue, and
refreshments for operator training workshops.
d) responding to telephone inquiries and resolving
complaints or referring calls as required.
e) maintaining departmental filing processes.
4. Monitors records related to employee First Aid
qualifications and advises departmental managers
affected by upcoming expiry of qualifications.
Coordinates course registration of employees undertaking
First Aid training, prepares documentation to ensure
payment of First Aid allowances to qualified employees.
5. Creates and maintains safety records in support of
the safety awards program for all employees. Prepares
and distributes safety recognition letters in accordance
with program criteria, and organizes safety luncheons
and BC Transit Million Mile Club presentations,
including supplies, venue, and presentation materials.
Assists with the annual BC Transit recognition program
by determining safety recognition recipients and
obtaining presentation materials such as plaques and
pins.
6. Maintains records related to employees ICBC drivers
abstracts. Monitors abstract records for license expiry
and items of significant safety concern, and alerts
Manager or departmental line supervisors as appropriate.
7. Processes Red Light Camera Violation Notices,
identifying employee/vehicle responsible and forwarding
to legal counsel.
8. Performs work on special projects, such as training
manuals and course materials preparation.
9. Performs duties on behalf of the Manager, Safety &
Security in relation to file preparation and
transcribing of interviews and statements. Liaises as
and when required by the Manager or Corporate
Investigator with legal counsel on cases held within
security database.
10. Support to the Safety & Security team with duties
including updating or amending access levels to Key and
Access management systems and case file updates.
Performs related duties as assigned, such being items of
a minor nature which do not affect the value of the job.

Job Requirements:
General academic background equivalent to high school
graduation, including successful completion of courses
in office procedures and training in the use of a
personal computer utilizing word processing and
spreadsheet software.
Position requires a minimum 12 months of previous
experience in a computerized office environment in which
advanced proficiency in word processing and formatting
and editing of formal documents has been gained as well
as knowledge and understanding of safety and emergency
management processes.
