The purpose of this role is to assist the line management in the delivery ofexceptional operational performance, through delivery of specialist ProcessManagement, Rigour Control and self-assessment, supporting change and operational activity across the Business Unit. Accountability: Business Operations Management

  • Define an end to end Operational Framework and process drawing on external and internal world class practices and expertise across BusinessUnit (BU)
  • Assist in the co-ordination and oversight of the BU processes Deliver anoperational Management Information (MI) framework to providetimely,consistent and accurate MI across all Operational activity in the BUusing metrics applicable to the functional areas.
  • Proactively develop and embed adherence to reporting on appropriate policies and processes by monitoring and overseeing the implementationand embedment process.
  • Ensure business compliance to operational rigour standards, enablingearly identification and options for resolution of control issues; bymonitoring, and providing oversight and support.
  • Share knowledge including technical support, tips, ideas and good practices within own and across teams.
  • Proactively adopt, execute and implement change initiatives across theBusiness Operations for BU as required to enhance or improve on existingprocess or procedures.
  • Implement and maintain a quarterly Asset Register for the BU to keepcontrol of the Centre's assets.
  • Incorporate Risk and Compliance across the Operational Framework byensuring that Risk and Control Assessment (RCA's) are reviewedquarterly.
  • Align and ensure implementation of the Physical Security Policy, Minimum Security Standards and Asset Management for BU, by ensuring that thepolicy and procedures are applicable and in place through monitoring and oversight of the process in the all areas.
  • Align and ensure implementation of the Souring and SupplierManagement process for the BU, by ensuring that the policy and procedures are applicable and in place through monitoring and oversight of the process in the all areas.
  • Implement Business Continuity Management (BCM) for the BU andensure suitable recovery plans are in place to recover from disaster incidents according to the policies and laid down procedures.
  • Exercise preparedness and recovery capability and competence by BCMtest requirements as per the BCM policy.
  • Coordinate and ensure adequate training program and procedures are inplace for all staff.
  • Create awareness on Occupational Health and Safety (OHS) for the BU toensure that all employees are compliant regarding the health and safety intheir working environment according to the OHS policies and procedures.
  • Select, motivate and develop an emergency team with sufficient teammembers to perform emergency functions within the centre, that is: Fire Wardens, First Aiders, Evacuators and EHS Representatives ensure thatthe emergency team is skilled to perform the various functions by ensuringthey attend the required training.
  • Take responsibility for the centre's evacuation plan by performingregularevacuation exercises, identification of gaps and implementation of remedial actions.
  • Ensuring that evacuation procedures are up to date, aligned to Groups procedures and distributed on a quarterly basis or as required.
  • Take responsibility for the completion and submission of Quarterly SafetyReports on SharePoint.
  • Create awareness by conducting OHS information sessions to all newstaff members in the environment.
  • Engender a culture of continuous improvement and of excellence bystaying abreast of new developments in the industry
  • Maintain a comprehensive awareness of trends and developments in theindustry and share good practices with team and colleagues.
  • Develop excellent internal relations and partnerships with Group Support functions, Change, Risk & IT to assist as subject matter experts (SME's) inproviding inputs on the processes and procedures applicable to the BU.
  • Interpret and proactively embed Group operational policies on behalf of the BU to understand applicability to ensure compliance to Group'srequirements.
  • Act as the central point of contact in all operational rigour matters, andactively
support the development of an appropriate operational framework within
the BU
  • Oversee the activities of the BU's team to ensure effective delivery ofstrategic objectives.
  • Develop a high performing team by embedding formal performancedevelopment
and informal coaching. Encourage frequent knowledge sharingbetween team members.
  • Determine and analyse development needs for the team and ensure thatidentified training requirements are budgeted for and executed.
  • Establish and maintain a succession plan for the team.
  • Interview and recruit new members of the team, including determiningappropriate compensation levels with input from Human Resources.
  • Create effective workforce and recruitment demand plans to ensure thatcurrent and future business requirements can be met. Plans should berevised at least twice a year.
  • Review and update the department’s organisation structure and roledescription on
at least an annual basis to ensure that they are fit for purpose and contain all the accountabilities of each team member.
  • Motivate to and obtain approval from the Head of BU for any additionalheadcount for the team.
  • Approve leave requests for team members and create leave plansto ensure adequate coverage.
  • When required, initiate disciplinary processes for team members callingon support from Human Resources when required.
  • Resolve grievances raised by team members and escalate only ifrequired.
  • Address poor performance of any team member through the formalPerformance
Accelerator programme and ensure that continued poor performance is
appropriately dealt with.
  • Motivate team members and ensure that their efforts are recognised.
  • Participate in the creation and implementation of Employee OpinionSurvey (EOS) actions for the BU team.

Essential/Basic Qualifications
  • NQF Level 6: B Degree
  • BCom Business / Operations Management / Finance
  • BCom Finance / BCom Risk Management
  • BSC Information Systems
  • Three years management experience in a Financial Services
environment
