Manager of Operations Full-Time, One-Y ear Contract


The Barbra Schlifer Commemorative Clinic (the “Clinic”) offers legal representation, professional counselling and multilingual interpretation to women who have experienced violence. Our diverse, skilled and compassionate staff accompany women through personal and practical transformation, helping them to build lives free from violence. We are a centre by, for and about women. We amplify women’s voices and cultivate their skills and resilience. Together with our donors and volunteers, we are active in changing the conditions that threaten women’s safety, dignity and equality.


We are seeking an exceptional candidate for a new position offered at the Clinic. The manager of operations is primarily responsible for the organization, maintenance and coordination of all administrative tasks and activities associated with agency operations. This includes the requisite systems and processes to manage effective controls in accordance with the Clinic’s policies and procedures. The manager of operations is also responsible for data management, as well as the information and technology systems of the agency.


DUTIES AND RESPONSIBILITIES

Reporting to the director of operations, the manager will deliver a wide range of services including:


FINANCIAL MANAGEMENT

  • Maintain all aspects of the fi system, including AR/AP and banking
  • Coordination and consolidation of program budgets (including proposed and annual agency operational budgets) as directed by the executive director or director of operations
  • Develop and prepare internal reports for the board, executive director, and program directors
  • Develop and prepare external reporting system according to specific requirements (government, funders, grants, reports)
  • Oversee salary, benefit and payroll systems
  • Provide support and assistance to the director of operations and the executive director in all fi matters and keep her accurately informed of the Clinic’s fi status
  • Conduct quarterly reviews with program directors/executive director/director of operations
  • Monitor Clinic-wide spending and ensure all expenditures are pre-authorized and properly documented
  • Work closely with the auditors and the board of directors and treasurer, as delegated by the executive director and director of operations
  • Coordinate the annual fi audit
  • Prepare and review the fi components of submissions to funders
  • Maintain fi for all contractual commitments of the organization
  • Supervise payroll, administration and administrative assistant staff

INFORMATION AND TECHNOLOGY MANAGEMENT

  • Plan, develop and implement the organization’s IT system in conjunction with the director of operations
  • Address and ensure the computer equipment needs of staff within established budgets and guidelines
  • Negotiate and monitor the Clinic’s service agreements and network requirements (e.g. phones, computers, Internet)
  • Gather, review and assess data from multiple sites and programs
  • Make proactive recommendations about the Clinic’s software, and data management needs to the directors

ADMINISTRATION

  • Produce statistical reports as required
  • Create and maintain a data system by collecting, tracking and providing data on project activities for funder reports and evaluations
  • Support the management team in writing reports, policy briefs, notes and data sharing
  • Serve as the benefits administrator, liaising with the carrier as needed
  • Research and administer benefit plans in accordance to agency requirements
  • Participate in the Clinic’s strategic planning process
  • Produce and coordinate annual funding reports for the United Way of Greater Toronto
  • Recommend evaluation best practices and participate in their design and administration as required

RESEARCH/ EVALUATION/ DATA COLLECTION

  • Manage and maintain the Clinic’s electronic client management software and record keeping systems (EMHware) for the Ministry of Children, Community and Social Services (MCSS), Ministry of Health and Long-Term Care (MOH) and Local Health Integration Network (LHIN) programs
  • Ensure that funder reporting requirements are easily accessible through the database; work with vendors to make changes in the system to meet funder requirements
  • Train staff in client management software, as required

OTHER

  • Comply with Clinic and funder policies and procedures
  • Perform other tasks as assigned by the management team

MINIMUM QUALIFICATIONS

  • Undergraduate degree or an equivalent minimum of five years’ experience in a relevant role
  • Experience in the not-for-profit sector
  • Accounting knowledge

COMPETENCIES

  • High level of competency in relevant accounting, word-processing, spreadsheet, and database software programs particularly QuickBooks Pro and Excel
  • Ability to produce high-quality reports, proposals, and budgets
  • Ability to work in a deadline-driven team environment
  • Tact sound judgment and an ability to multi-task
  • Ability to problem-solve and provide workable solutions
  • An understanding of computer networks and IT infrastructure
  • Excellent verbal and written communication skills

SALARY : $61,877. All positions include a comprehensive benefits package offered through a group plan as part of our United Way membership.


DURATION : Full-time, one-year contract pending future funding
