The incumbent is responsible for providing administrative support to the Senior Vice-President, Regulatory Risk Management and Chief Compliance Officer.
The incumbent will provide administrative support to the Chief Compliance & Senior Vice President Legal Affairs to ensure efficient seamless functioning and management of the team. This includes liaison with direct reports, cross-functional areas and external stakeholders to conduct business in an efficient and effective manner. The successful candidate will be organized, resourceful, dynamic and creative.
o Manages the outlook calendar, coordinates meetings, conference calls, travel arrangements, and special events.
o Demonstrate initiative to work independently to ensure routine and reoccurring meetings and tasks are scheduled and completed.
o Proactively prepares time-sensitive, confidential materials e.g. meeting agendas, reports, spreadsheets, documents and correspondence, using PowerPoint, Word & Excel.
o Drafting of correspondence with limited verbal or written instruction.
o Set up and manage filing of legal and non-legal for electronic and paper files.
o Monitors operational budget, manages expense accounts and ensures invoices are tracked accurately and paid on a timely basis.
o Provides administrative support to the executive team, including but not limited to: general administrative and content support, document translation and other modifications as needed.
o For the new employee onboarding, ensures that requests are made within the required time: workspace, computers etc..
o Liaises and coordinate with other departments to ensure fluidity of daily operation activities.
o Maintain the integrity and confidentiality of information passing through the executive's offices.
o Diploma in secretarial studies or other training and experience relevant to the position
o Minimum of 5 years' administrative experience in a similar role
o Experience is operating in a highly confidential and sensitive environment.
o Bilingual (French/English) verbal and written communication skills
o Strong computer literacy including effective working skills of Microsoft Word, Excel and PowerPoint
o Well organized, able to manage time and multi-task to accomplish a multitude of tasks, with conflicting priorities and timelines.
