Job Description

We're looking for a top-tier Office Coordinator to be at the epicenter of support for an organization in rapid growth. Your attention to detail, experience in hospitality, and ability to deal with a high level of ambiguity will be instrumental to ensuring the proverbial wheels are always turning. Although your focus will be on ongoing facilities and office coordination, your mission remains the same - to enhance the experience of working at Axiom Zen for our world-class team in our Vancouver office.

Axiom Zen is an award-winning venture studio that creates innovative applications for the most exciting emerging technologies. Our products have already touched 200+ million consumers and are used by some of the world’s leading organizations, including Microsoft and NASA. Among our recent successes is CryptoKitties, the world’s most successful blockchain game.
Our team is made up of 80+ founders, creatives, and engineers. We come from all walks, runs, and sprints of life (though we all sprint here), from published authors to five-language-speakers.

What we’ll accomplish together:

  • Your work as part of the People and Culture team will support the organization as it scales. You will identify ways to further enhance the Axiomatic experience through the perks we provide to our team.
  • We're moving! You'll have a unique opportunity to assist with a relocation into a brand new space. We'll be relying on your attention to detail as we make sure our space looks crisp when we move in and beyond!
  • You will serve as a catalyst that allows project teams to do their best work at all times. That means you will be the crucial gateway to logistics for the Executive Assistant, Events, and Marketing teams and diving deep into any initiatives that arise.

A little about you:

  • You are comfortable with applying your skills across a variety of use cases, including but not limited to administration, business support, facilities management, and program development.
  • We believe in processes and the power of planning, but you will often have to roll with the punches and prioritize the most impactful tasks on the fly.
  • You have office coordination experience.
  • You’re a go-getter, and comfortable working autonomously and proactively.
  • Your high attention to detail allows you to identify gaps and missing pieces to minimize opportunities for oversight.
  • You have experience supporting various teams with competing priorities.
  • You’ll be front-of-house, so experience in hospitality is a nice to have (i.e.: hosting visitors, touring guests, supporting special events, etc.)

The role:

  • You will be responsible for making sure the Den (our Vancouver headquarters) looks like it did on Day 1, protecting and showcasing our brand throughout the space, whether it’s to prep for a meeting with investors or resetting our meeting rooms to make sure all office equipment is working smoothly.
  • You will utilize various shipping platforms (FedEx, UPS, Canada Post, and more) to manage inbound and outbound mail.
  • You’ll be coordinating all things food to make sure our Axioms are well fed and happy: grocery and daily lunch orders, Friday team lunch orders, maintaining kitchen resets, setting up breakfast and afternoon snacks, organizing ice cream Fridays, and more.
  • As our vendor relations support specialist, you’ll be responsible for ensuring that our partners are well supported on-site during scheduled visits.
  • You’ll be hands-on-deck for special events and initiatives.
