Front Desk Associate At American Conservatory Theater

Location: San Francisco, California

Job Description

Status: Full Time/Regular/Non-Exempt
Salary: $18.00/hr
Start Date: On or about May 13, 2019
Hours: Monday – Fridays, 10 AM to 6 PM
Reports To: Operations Manager

American Conservatory Theater is seeking a full time Front Desk Associate for the administrative headquarters at 30 Grant Avenue. The position offers medical / dental / vision benefits, paid time off, paid holidays, and access to free theater tickets and free classes.

The Front Desk Associate is the first point of contact for A.C.T. for both visitors and callers, serving as both a communication hub and a primary source of information. Hours are 10 AM to 6 PM, Monday through Friday. Specific duties include:

  • Open / close switchboard and reception area daily
  • Answer, screen and route incoming calls
  • Manage general delivery voicemails
  • Maintain and update front desk manual; cross-train other staff for coverage
  • Greet and orient visitors, students, patrons, vendors and other constituents
  • Serve as first point of contact for telephone and in-person inquiries regarding all training programs
  • Sort and disseminate incoming mail, invoices, payments, applications, etc.
  • Accept package deliveries, notify staff as needed
  • Print and disseminate studio schedules, building hour schedules and master/reference studio calendars
  • Maintain internal telephone list on a regular basis and disseminate updated list
  • Monitor postage machine balances / manage BRE accounts
  • Order office supplies
  • Meter and post all mail daily, deliver to nearby post office end of day
  • Ensure functioning of copiers and fax machines, assist when possible
  • Additional duties and special projects as assigned
  • Assist other departments with clerical tasks, as needed

By its nature, this position requires contact with the public, board members, vendors and the company at large on a regular basis. Patience, grace, good humor, and personal warmth are essential to the job. One to two years previous experience in equivalent position, and experience using multi-line phone system desired. Excellent communication skills, including legible handwriting and accurate spelling, and basic computer skills (Microsoft Office) required. Excellent attendance record and punctuality required.
