Research Coordinator, Data Entry and Admin At Altus Group

Location: Toronto, Ontario

Job Description

The Data Solutions team is looking for a Research Coordinator who wants to contribute to the reliability and accuracy of our database (Altus InSite), gather timely data, enter information and play an active part in the generation of reports and presentations for the CRE market. This specific position also supports the team with basic database administrative duties, such as creating records and managing the weekly feed of listings. This is an opportunity for someone who thrives in an autonomous role within a fun team.

Key Responsibilities:

  • Maintain the database. Confirm all details with respect to industrial and office buildings information, availabilities, rental rate information, transaction details and other related data (images, files, contacts, etc.) are entered accurately in a timely fashion.
  • Conduct research and collect data. On an ongoing basis, you will use a variety of methods from email, flyers, site subscriptions, phone calls and industry networking from both internal sources and third party sources (brokers, managers, landlords, assessment authorities) to update and maintain the InSite database in a timely manner.
  • Ensure accuracy. Review the database to ensure all of the details are accurate and up-to-date; that all fields are completed. You will pursue information to complete files.
  • Provide customer service. Answer general support questions from subscribers via email or phone.
  • Conduct data audits. Assist with weekly audits of the information contained with our database to ensure accuracy and timeliness.
  • Take on database admin responsibilities. Create new building records in the Altus InSite database and liaise with technical programmers to help with SQL updates to the database, as well as manage the weekly feed and match of automatic listings into the database.


Position Requirements:

  • Post-secondary education is an asset.
  • Related work experience is an asset.
  • A driven but easy going personality. This is a role for someone who wants to be part of a bigger team and can also work on their own processing data.
  • Technical skills including basic proficiency in MS Office, primarily Excel and Word.
  • An analytical nature with strengths in collecting, organizing and entering significant amounts of information with a high level of detail and accuracy.
  • A logical approach to problem solving with the instinct to follow or develop processes.
  • Outstanding communication and relationship building skills. This is a role that requires reaching out to property managers, owners and other external stakeholders to ascertain details and confirm information; professionalism is key.
  • The drive to work autonomously and be a contributor to the team’s initiatives. By staying focused, pursuing professional development opportunities and networking, this is an exciting first or second job for someone considering a career in CRE.
  • The confidence and resources to make decisions and to pursue best practices.
  • The availability to work outside of business hours on occasion along with a valid driver’s license is a definite asset.
