Job Description

This position assists with the day-to-day operation of the Director’s team in the assigned zone by providing a full range of reasonably complex administrative duties such as: Managing RMS, e-People – Timekeeping, Purchasing Card – coding and approval. Maintaining the calendar of and scheduling appointments, including making travel arrangements. Transcribes, formats, edits, and proofreads documents as required. Schedules and organizes meetings for the Director; includes sending notices, typing agendas, bookings rooms arranging for audio-visual equipment. Records and transcribes minutes from committee meetings and distributes minutes as necessary. Distributes WHS communications to assigned area of responsibility as required. Enters and compiles statistical data as required by Workplace Health & Safety (WHS). Records and submits payroll data for members. Maintains vacation schedule for management team. Acts as the contact person with other offices/departments/programs in AHS in the assigned area of responsibility. Assists in the development of WHS communications or other documentation as required. Processes purchase requests using on-line ordering system. Arranges and coordinates business functions i.e. conferences, information sessions and so on as required by the Director. Providing vacation and task coverage as needed as part of the WHS Administrative Assistant team.

Required Qualifications:

A minimum of a High School Diploma with a minimum of four years of related experience with progressively increased responsibilities and secondary education in Business Administration with designation as an Administrative Assistant; or equivalent.

Additional Required Qualifications:

In addition, the incumbent will possess a record of accomplishment in the following areas: Considerable knowledge in MS Word, Excel, PowerPoint, SharePoint, Visio, Outlook. Excellent communication/interpersonal/organizational skills. Ability to prioritize and balance workload. Ability to maintain confidentiality. Excellent written and oral communication are required.

Preferred Qualifications:

Considerable knowledge in e-People and RMS an asset.
