Human Resources Assistant (Co-op) At Aecon Group

Job Description

As the Human Resources Assistant, reporting into the Manager, Human Resources, you will be responsible for a variety of administrative duties in support of the company’s Human Resources functions. This multifaceted position will require an open-minded individual who is ready to apply the education in which they have obtained. Preparation and handling of confidential documentation will be significant within this role.
Key Responsibilities
  • Update the training database to ensure that all training is tracked
  • Coordinate & organize training sessions (booking rooms, equipment and materials required by instructor etc.) in all disciplines of training when needed


Job Descriptions
  • Audit, maintain and keep all job descriptions up to date

  • Manage and routinely organize all employee resumes within an electronic filing system
  • Generate resumes into the standardized Aecon formatting

Open Positions
  • Review resumes on the Applicant Tracking System (ATS) for all active positions
  • Arrange and coordinate interviews for potential candidates
  • Perform reference checks, pre-screens and other duties as assigned

Co-op Recruitment & Campus Recruitment
  • Attend and actively participate in job fairs as needed

  • Arrange proper materials as required for new employee orientation
  • Assist in facilitating the weekly employee orientation sessions

  • Assist in answering general inquiries from employees regarding benefits

HRMS System & Reporting
  • Assist the department in creating, running and auditing of reports
  • Generate new and ad hoc HRIS reports as needed by the HR department

Vacation Tracking
  • Work with the HR Administrator to review entitlements/carry overs
  • Send out reminders to employees on their balances and assist in fixing any discrepancies

Performance Management
  • Scan and upload all reviews into HRIS system
  • Responsible to track all hourly and salary submissions

  • Update and maintain HR Communications Board
  • New Hire Announcement, Memorandums and Posters
  • Create the HR Monthly Calendar

  • Help to coordinate Compensation Statements production, review and delivery
  • Offboard employees from the IS system
  • Files administrative documents in employee files, e-files and Share drive.
  • Participates in special projects as well as employee and community engagement activities
  • Responsible to participate in HR weekly meetings
  • Maintaining and updating highly confidential information daily
  • Fosters Aecon’s Core Values the department and throughout the company
  • In charge of returning unsolicited calls to the HR department
  • Other duties as assigned
Required Knowledge & Skills
  • Currently enrolled in post-secondary school education with a focus in Human Resource Management
  • Experience supporting a department in an administrative role
  • Excellent knowledge of Microsoft Office Products (Word, Excel, PowerPoint, Outlook)
