Contracts Administrator At Aecon Group

Location: Calgary, Alberta

Job Description

Reporting to the Commercial & Project Controls Specialist, the Contracts Administrator will support our Estimating and Project Management teams, and will be responsible for ensuring that key legal documents supporting construction activities are compliant and consistent with Aecon's commercial Risk Management Policies, and are optimal and practical to each project opportunity.
Key Responsibilities

  • Liaises with Estimating and Project Management Teams to create and issue Subcontracts and Service Agreements in an efficient and diligent manner.
  • Prequalify subcontractors, suppliers and other service providers following Aecon's internal prequalification process.
  • Ensure proper documentation is received, including Insurance, WCB Clearance and Bonding
  • Provide ongoing support with Change Orders
  • Maintain all key document control and electronic filling in shared database.
  • Ensure adherence to appropriate Limits of Authority protocol
  • Coordinate the execution of key legal documents
  • Coordinate internal and external distribution as applicable
  • Collaborate with Estimating, Operations, Safety, Finance, Legal, and Senior Management as appropriate.
  • Ensure flow down of terms and conditions of the main contract to ensure appropriate levels of risk are transferred to lower tier suppliers and sub contractors
  • Perform all duties in compliance with Aecon's current Project Management processes, templates, checklists and tools.
  • Incorporate / comply with Aecon's risk management policies and procedures
  • Support the development of project Contract Management Plans as appropriate
Required Knowledge & Skills
  • Minimum of 2 years' experience in Contract Administration.
  • Engineering, Technology or Business Degree an asset (or equivalent combinations of training)
  • Thorough knowledge of contract language / Terms and Conditions / Bonding etc.
  • Strong construction knowledge.
  • Strong business acumen.
  • Ability to work independently with minimal supervision.
  • Self motivated with excellent organizational skills.
  • Strong computer skills (MS Word including "blackline" functionality, MS Excel)
  • Strong communication skills - oral and written are essential.
  • Ability to work accurately and effectively under pressure.
  • Adaptable to flexible work schedule when required to meet deadlines.
  • Ability to work with others as a team.
